How to scope and compare a production quote

  1. Decide the format before you talk to anyone. Live, simulive (a recording played to a schedule with the presenters live in chat) or fully on demand are three different production jobs with three different cost bases. Naming the format first turns a vague conversation into a specification, and most of the price variance you will see comes from this single choice.
  2. List which functions you need and which you already own. Platform, registration, promotion, presenter coaching, rehearsal, live direction, editing, clipping and follow up are separable line items. Write down which you have in house before you ask for a quote, or you will pay a bundled price for capabilities your marketing team already performs perfectly well.
  3. Ask for a line item quote, not a package price. Request the fee broken into production, platform, editing and any per event or per attendee charges. Packages hide where your money goes and make two vendors impossible to compare. A vendor that will not itemise is usually protecting a margin on a component you could source separately.
  4. Agree the deliverables and the deadline for each. The recording, the transcript, the captions, the clips and the attendee data all have to arrive by a date to be useful. Fix the number of clips, the turnaround in working days and the file formats in writing, because post production is where promised value most often quietly evaporates.

Where the money actually goes

Four things drive the cost of a produced webinar. Live versus recorded, because a live event needs a producer, a backup plan and rehearsal time that a recording does not. The number of remote presenters, since every additional location adds a connection to test and a person to coach. The production standard, which ranges from a well managed video call to multiple camera feeds, lower thirds and a branded stage set. And the volume of post production, which is where a single event turns into a quarter of promotional material or into one long file nobody watches.

Ongoing programmes price differently from one off events. A vendor running a monthly series can amortise the setup, the templates and the presenter training across events, so the per event cost should fall materially after the first two. If a quote for a twelve event series is simply the single event price multiplied by twelve, the vendor is treating each one as a fresh project and you are paying for the same setup a dozen times.

The failures that cost the most

The technical disaster gets the attention, but it is rarely the expensive failure. Far more common is a well produced event that generates nothing, because registration promotion started too late, because the topic was a product demo dressed as education, or because nobody had agreed what happens to the attendee list afterwards. Ask any candidate how far in advance they want promotion to start and what the follow up sequence looks like. A production vendor with no opinion on either is telling you they operate the console and nothing else, which may be exactly what you want as long as you know it going in.

The second expensive failure is data. Attendee records, watch duration, poll answers and question submissions are the most valuable output of the whole exercise, and they need to reach your CRM in a usable shape within days rather than as a spreadsheet a fortnight later. Settle who owns the platform account, who exports the data and on what schedule, before the first event rather than after it.

If your team is comfortable running the technology and your presenters are experienced, a platform plus an internal producer covers a straightforward event. Outside production earns its fee when the stakes are high, the presenters are executives, multiple remote feeds are involved, or the recording has to be turned into a body of content afterwards.
Is simulive worth considering?
Often, yes. Recording in advance and playing it to a schedule with the presenters live in chat removes the technical risk and the presenter nerves while keeping the deadline that makes people attend. Disclose that the presentation is recorded, since audiences discover it quickly and the goodwill cost of pretending otherwise is not worth the attendance.
How many clips should come out of one event?
Fix the number in the contract rather than accepting a promise of highlights. A well structured hour typically yields a handful of genuinely useful short segments plus the full recording, a transcript and captions. Anything more than that is usually padding, and anything less means the event was not structured with reuse in mind.
Who should own the webinar platform account?
You should, for the same reason you should own your advertising accounts. Registration history, attendee data and past recordings accumulate value and are painful to reconstruct. If a vendor insists on hosting everything in its own account, agree in writing what is exported to you, in what format, and on what timetable when the relationship ends.
