How to build a comparable shortlist
- Classify every candidate before you compare prices. Read each firm's site and decide whether it is a platform, a studio, an agency or an independent producer. Two quotes are only comparable within a type, and a platform quoting low is usually excluding the production labour that a studio has included in its number.
- Ask what the minimum commitment is. Some firms will produce a single event, others only sell a series or an annual programme. Asking for the disclosed minimum in writing eliminates unsuitable candidates within a day and spares you two sales calls that were never going to reach a proposal.
- Send one identical brief to every candidate. The same format, the same presenter count, the same post production expectations and the same date. Without an identical brief you are comparing vendors' assumptions rather than their prices, and vendors assume in whatever direction makes their number look best.
- Check the references that match your format. A firm with a strong record in large keynote broadcasts may have little experience of a recurring internal webinar series, and the reverse is equally true. Ask for two references running the same format at a similar scale, and speak to them about post production turnaround specifically.
The four types and how each one earns
Platform led vendors make their margin on the software licence and treat production as an attachment, so the services are typically lighter and cheaper and the account is theirs rather than yours. Studios make their margin on production days, so their quotes are strong on camera work, sound and direction and thin on promotion and follow up. Full service agencies make their margin on the programme, so they will include registration campaigns and nurture sequences and will normally want a retainer rather than an event fee. Independent producers sell their own time, which makes them the best value for a competent internal team that needs experienced hands rather than a whole department.
None of these is the correct answer in general. The mistake is buying one type while expecting another's deliverables, which is precisely what happens when a buyer compares a platform quote against a studio quote on price alone. Questions that separate the field quickly
Ask each candidate what happens if a presenter's connection fails eight minutes into the event. The answer reveals whether they run a rehearsed backup, whether a producer is actually on the call, and whether they have done this often enough to have a routine. Ask what they need from you and by when, because a firm that has run many programmes will hand you a dated checklist immediately while one that has not will improvise. Then ask what percentage of registrants they typically see attend, and whether the number is measured or estimated. Precision in the answer tells you more than the figure itself.
Finally, ask what they do with the recording. A vendor whose answer stops at delivering a file is a production supplier. One that talks about clips, transcripts, a gated on demand page and a follow up sequence is thinking about the return rather than the event, and if that work is in scope the higher fee may be the cheaper purchase overall.

- How different are quotes for the same event in practice?
- Very. The spread across the four vendor types for one identical brief is routinely several fold, and most of it reflects what is included rather than quality. That is why classification comes before comparison: a like for like quote is only possible once you know whether promotion, editing and follow up sit inside each number.
- Should I use the same firm for every event in a series?
- Usually yes, because setup, templates, presenter familiarity and technical rehearsal all carry over and should reduce the cost per event after the first two. Negotiate that reduction explicitly at the start rather than assuming it, and make the series contract cancellable if the first two events are handled badly.
- What should a single event realistically include?
- At minimum: a technical rehearsal with every presenter, a producer present live, the recording delivered within a few working days, a transcript and captions, and the attendee data in a usable export. If any of those five is missing from a quote, it is not a cheaper offer, it is a smaller one.
- Do I need a vendor with experience in my industry?
- Less than you would think for production itself, which is a craft that transfers well. It matters for regulated sectors where slides need review before they can be shown, and for technical audiences where a producer who cannot follow the content will mishandle the question queue. Ask about format experience first and industry second.
