How to shortlist a technology PR firm
- Name the audience and the decision you want to change. Consumer awareness, enterprise buyer credibility, analyst positioning, developer trust and recruiting signal are five different programmes with different outlets and different spokespeople. Write down which one you are buying, in a single sentence, and open every agency call with it rather than with your product story.
- Audit your news supply for the next two quarters. Coverage follows substance. List what you will genuinely have to say: funding, launches, customer wins you can name, original data, security or reliability milestones. If that list is thin, fix it before hiring, because no firm can place a story that does not exist and a retainer will simply buy you activity.
- Get the minimum, the term and the team in writing. Ask each candidate for the smallest engagement they accept, the contract length, the notice period, the named account staff and the share of their week you are buying. This is one email, it needs no meeting, and it removes more names from a shortlist than any other step in the process.
- Test the pitch, not the deck. Ask each finalist to draft the pitch email they would send about your most recent news, in one hundred words, to a named reporter. The quality gap between firms is visible immediately, and it tests the skill you are actually buying rather than the presentation skills of whoever runs new business.
- Fix reporting before the first invoice. Agree named target outlets, message pull through, analyst interactions and downstream signals such as inbound demand, then treat clip volume as context. Also agree that earned and paid placements are reported separately, so a contributed column is never counted as a journalist choosing to write about you.
What technology PR firms publish, and what they withhold
Our index records what each firm states on its own site, with the date we read it: any published starting retainer, stated minimum engagement, named clients, sector focus and team size. Pricing is the field most often withheld in this category, and where a floor is published it usually describes the narrowest scope the firm will sell rather than what a real programme costs.
Named clients are the more useful disclosure. A firm that publishes clients in your segment, at your stage, is telling you something checkable, and those clients can be emailed. Treat an awards page as decoration and a client list as evidence, then verify the evidence by contacting two of the names rather than reading the case study.
What drives the price of a technology PR programme
Seniority first. A programme run by someone with genuine relationships and a decade of beat knowledge costs several times one staffed by a junior working from a purchased media list, and the difference shows in whether pitches are opened at all. Ask what share of the retainer funds senior time and hold the answer against the monthly report.
Then scope. Media relations, thought leadership writing, analyst relations, awards, event support, developer community work and crisis readiness are separate workstreams that get bundled into a single number. Ask for them priced individually. It makes proposals comparable and lets you drop the two you were never going to use.
Claims, benchmarks and the compliance a founder forgets
Announcements make claims, and claims are advertising. The FTC's advertising guidance for small business states that objective claims must be truthful and substantiated before they are made, which covers performance benchmarks, security assertions and comparisons with named competitors. Decide who holds the evidence for each number in a release before it goes out, and keep that file.
Customer quotes and third party praise carry their own rules. Where a person or company praising you has a material connection, such as payment, a discount or an equity interest, the FTC's endorsement guidance requires that connection to be disclosed clearly and conspicuously. Ask your agency how it screens quotes and reviewer relationships, and require paid placements to be labelled as such in your own reporting.
Questions people actually ask
- How much senior time should we expect?
- Ask for it as a percentage of the retainer and a named person, then check the monthly report against it. Many programmes are sold by a partner and run by an account executive, which is not automatically wrong, but you should be paying junior rates for junior time rather than partner rates for a partner who attends the kickoff and then disappears.
- Do we need analyst relations as well?
- If you sell enterprise software into processes where a shortlist is influenced by analyst reports, yes, and it is a specialist skill with its own calendar and briefing cycle. If you sell to individual developers or consumers, that budget is better spent on community, documentation and product led credibility.
- What does the first ninety days look like?
- Typically messaging work, spokesperson preparation, media list building and the first pitches, with placements landing from the second or third month for most programmes. Ask each candidate for their own ninety day forecast in writing and review against that rather than against a general expectation.
- Retainer, project or in house?
- A launch or a funding announcement can run as a project and often should, as a way to test a firm before committing. Sustained media relations rewards continuity. Many technology companies land on a small in house communications lead plus a specialist firm for the media relations mechanics.
