How to shortlist a PR agency for a technology company

  1. Name the outcome the coverage is meant to produce. Hiring, fundraising, enterprise credibility, developer awareness and category creation need different publications and different tactics. Write the outcome in one sentence before the first call, because a firm strong in enterprise trade press may be weak with the developer community and both will pitch you the same retainer.
  2. Ask which journalists on your beat they have placed recently. Not a media list, and not logos: recent named pieces with the publication and the reporter. Then check whether those reporters still cover the beat. Relationships in technology journalism move quickly and a firm's strongest contacts can date from a team that has since dispersed.
  3. Get the minimum retainer, minimum term and team composition in writing. Ask for the smallest engagement accepted, the notice period, and exactly who does the pitching versus who attends the meetings. Senior partners sell technology PR and junior staff often execute it, so ask how many hours a month the named senior person will actually spend on your account.
  4. Agree how success is reported before you sign. Decide in advance whether you are counting placements, tier of publication, share of voice against named competitors, inbound enquiries, or branded search volume. Ask for a sample monthly report from a live account with the client details removed, and check that it reports misses as well as hits.

What a technology PR retainer really buys

The honest version of this service is a team that understands your category, knows which reporters cover it now, and can tell you when your announcement is not a story. Much of the value is the second opinion: talking a founder out of a launch that will not land, or spotting that a customer result is more interesting than the product update. Announcements, analyst relations, awards, speaking submissions, executive commentary on live news and crisis preparation all sit inside the same retainer, and the mix should follow the outcome you named.

The dishonest version buys wire distribution and calls the automatic syndication coverage. Ask specifically how earned placements are distinguished from paid or syndicated ones in the report. Where a firm arranges sponsored content, paid placements or influencer posts, the Federal Trade Commission's endorsement guidance is clear that a material connection between an advertiser and an endorser must be disclosed clearly, and that obligation sits with the advertiser as well as the agency.

How long before PR produces results?
The first month or two is usually onboarding, messaging and pipeline building, with placements following after that. Judge a firm at the end of a first quarter on the quality of the pipeline and the relevance of the conversations started, not the raw count of clippings, then judge the second quarter on outcomes.
Can we do PR in house instead?
A founder with genuine relationships and time can outperform a mediocre agency, particularly in early stage technology. What an agency adds is capacity, a wider contact base and the discipline of a calendar. Many companies run a hybrid, keeping the founder as the voice while an agency handles pipeline and logistics.
Are press release wires worth paying for?
Wires guarantee distribution, not coverage, and the syndicated republications they produce should never be counted as earned media. They have legitimate uses for regulatory or disclosure purposes. Judge a report by the named publications where a journalist chose to write about you.
What should the contract term be?
Six to twelve months is common because relationship building takes time, but insist on a clear notice period and a review point at the end of the first quarter against the reporting you agreed. Avoid long terms without a defined review, because that is where PR retainers quietly persist past their usefulness.
